Rental FAQs

Rates are based on event type/tier. See below for event Tier examples. 

  • Tier 1 — Community, nonprofit, and small staff-approved events: starting at $500.
  • Tier 2 — Larger private or commercial events with same-day setup and teardown: starting at $1,500.
  • Tier 3 — Larger events requiring multi-day setup and teardown, or full-pavilion use: starting at $3,000.
  • Large commercial events, festivals, and trade shows: custom pricing.

Additional charges may apply for extended hours, staffing, security, cleanup, equipment, and premium dates.

The pavilion is available for weddings, private parties, corporate gatherings, fundraisers, galas, trade shows, community events, festivals, vendor markets, and other approved events. Options include partial-pavilion rentals, full-pavilion rentals, community-use rentals, and customized commercial-event packages.

The pavilion is approximately 22,800 square feet and depending on the layout of your event can accommodate 50 to 1000+ people. 

The pavilion provides a covered event space, access to nearby public restrooms, and free adjacent parking.

*Tables, chairs, linens, staging, sound equipment, lighting, kitchen equipment, and other event supplies should be sourced separately by the renting organization or its planners — the pavilion should be treated as an event venue rather than a fully equipped commercial kitchen (see Food and Beverage).

Yes. Free parking is available adjacent to the pavilion, confirmed on the market’s rental page. Large events may require a parking plan, parking attendants, designated vendor loading areas, or additional arrangements.

Event bookings must be coordinated around existing market operations.

The farmers market generally operates Saturdays from 10 a.m. to 2 p.m., May through October, and wholesale-market activities occur on certain Monday, Wednesday and Friday mornings from 4 a.m. to 9 a.m. Event bookings must be coordinated around existing market operations.

Submit the rental inquiry form at cdregionalmarket.com/rent-pavilion, or contact market management at 518-465-1023 or info@cdregionalmarket.com. A reservation is confirmed only after market management approves the event, a rental agreement is signed, and the deposit is received.

A signed contract and a non-refundable deposit of $500 are required to reserve your date and time — this flat amount applies to every event, regardless of tier. There is no separate refundable security deposit. Instead, RENTER is responsible for the full cost of any damage caused to the Facility during the rental period (see Site Decoration and Liability in the rental

agreement); CDC will invoice RENTER directly for any repair, cleaning, or removal costs rather than drawing them from a deposit on file.

Cash, check, money order, or major credit card. Applicable credit-card processing charges of 3.4% will be added to any credit card charges.

The remaining rental balance and any additional fees are due no later than 30 days before the event. Events booked fewer than 30 days before the event date require payment in full at booking.

The $500 event deposit is non-refundable in all cases, from the date of booking forward.

If your plans change, CDC will try to accommodate one change of event date, provided you request it at least 60 days before the original event date. A date change is subject to availability and is not guaranteed.

Yes. The current contract requires ALL renters to provide and maintain Special Event Liability insurance (public liability and personal property damage) at the renter’s sole expense, covering CDC employees, contractors, and contracted vendors.

A single-limit liability of not less than $1 million per occurrence and general aggregate liability of not less than $2 million. Capital District Cooperative, Inc. must be named as an additional insured. Proof of insurance is due no later than 14 days before the event.

Yes. Any caterers or outside vendors must provide a copy of their certificate of insurance and catering license, naming CDC as stated, at least one month before the event. Vendors serving alcohol must also carry Host Liquor Liability coverage, or rely on an established caterer’s license and insurance for that coverage.

Depending on the event, permits or approvals may be required for:

  • Alcohol service or sales.
  • Temporary food vendors or food trucks.
  • Concerts, paid performances, or dances.
  • Amplified sound or attention-attracting loudspeakers.
  • Temporary stages, tents, generators, or special equipment.
  • Exterior signage (Village of Menands Code Chapter 138, Signs and Billboards).
  • Large gatherings requiring occupancy, fire-safety, or traffic review.

The renter is responsible for obtaining any required permits unless the rental agreement states otherwise; market management can advise on what may apply.

The rental of the facility requires the CDC to notify the Village of Menands and the police department.

Yes, with advance approval from market management. All caterers must be properly insured and provide any required food-service permits, licenses, and documentation before the event.

With advance approval and a designated parking or service location. Operators must provide appropriate insurance and any applicable Albany County permits.

Only with advance approval and in compliance with fire-safety and health-department rules. Open flames, propane equipment, grills, fryers, and generators may not be used inside the pavilion without express written approval and any necessary permits.

The facility may be used for final food heating, presentation, plating, and bussing only, per the current contract. CDC does not provide dishes, glassware, pots, pans, knives, or utensils. Caterers are responsible for their own preparation equipment, refrigeration, warming equipment, and serving supplies, and must remove all trash, compostables, and recyclables from the site — the market does not have adequate on-site disposal facilities for catering waste. Failure to remove or clean results in additional fees.

Alcohol service is entirely RENTER’s responsibility. It may be permitted with prior written approval, appropriate insurance, and all required authorization from both the Village of Menands and the New York State Liquor Authority (SLA) — CDC does not obtain these approvals on RENTER’s behalf. Alcohol must be served by an approved, properly authorized provider; service to minors or visibly intoxicated guests is prohibited. CDC reserves the right to expel anyone who is intoxicated or under the influence of drugs, per the rental agreement’s conduct clause.

Events involving alcohol generally need either a New York State One-Day Alcohol Event Permit or an authorized caterer operating under a Catering Permit, along with any applicable Village of Menands approval. Per the SLA’s own published guidance, One-Day Alcohol Event Permit applications must be received by the Liquor Authority at least 15 days before the event. Securing every required authorization — from the Village and from the SLA — and the associated liquor-liability insurance is the renter’s or caterer’s responsibility, not the market’s.

New York State limits One-Day Alcohol Event Permits to four per location within a 12-month period — this base limit is confirmed in current SLA guidance. If an event needs more than the standard SLA allowance, arranging that (including any municipal no-objection letters) is on the renter to pursue directly with the Village and the SLA; market management is not confirming a specific higher number in this FAQ.

Yes, both are permitted with advance approval, subject to Village of Menands noise regulations. DJs and bands may be asked to provide proof of insurance and details on their sound equipment and setup. Certain paid concerts or commercial performances may require a Village entertainment license (Chapter 50, Amusements).

Confirmed pavilion policy: amplified and live music must end by 10:00 p.m. Sunday through Thursday and by 11:00 p.m. Friday and Saturday. Separately, Village of Menands Code §75 (Noise) prohibits event noise from being audible inside a residence between 9:00 p.m. and 7:00 a.m., so sound should be kept low enough not to carry into neighboring homes well before the hard cutoff. The onsite manager has full authority to direct that volume be reduced or entertainment turned off at any point if a disturbance is created; repeated disturbances may result in expulsion from the premises with no refund.

They may be required to provide proof of liability insurance, particularly when bringing substantial equipment, staging, lighting, or sound systems onto the property.

Flowers and centerpieces, tablecloths and linens, freestanding signs and backdrops, portable displays, approved battery-operated candles, and approved lighting. Decorations must not damage the property, block exits, interfere with accessibility, or create fire hazards.

Per the current contract, no nails, screws, staples, or other penetrating items may be used on walls or floors; only low-tack tape is allowed. Glitter and foil (non-paper) confetti are prohibited on-site. Also prohibited unless expressly approved in writing: rice or similar scattered materials, smoke or fog machines, fireworks and pyrotechnics, open flames and unauthorized candles, paint or other damaging substances, and anything that obstructs exits, extinguishers, or emergency equipment. Any damage will be charged after the event.

Only with advance written approval, and only using methods that do not damage the pavilion — consistent with the no-nails/no-staples rule above. Outdoor or roadside signage may require a Village of Menands sign permit under Code Chapter 138. Installations requiring ladders, lifts, rigging, or electrical connections may need to be completed by approved personnel.

Vendors may enter during the setup period specified in the rental agreement; if there is an event before yours, a timed delivery window will be assigned. All external items must be checked in and signed for by the renter or their representative. Limited storage may be available on request, and storage fees may apply to items left overnight or beyond normal load-in/load-out times — this is not guaranteed and must be arranged in advance.

Yes, subject to availability:

  • Extra setup or cleanup time: $100 per hour.
  • Additional event time: $200–$300 per hour.
  • Prior-day access: $250–$750, depending on availability and event requirements.

The renter must remove decorations, personal belongings, and vendor equipment; bag and remove trash (including sorted recyclables and compostables, since the site has no on-site processing for catering waste); clean spills and food-service areas; and return the pavilion to substantially the same condition it was received in. A final walkthrough with a member of event staff is mandatory at the close of the event. Property left behind after the approved pickup time may be removed, stored, or discarded at the renter’s expense: a minimum $100 handling fee, $50–$100 per day storage, and actual disposal cost plus any administrative charge. Since no security deposit is held, these costs — like any other damage or cleaning charges — will be invoiced directly to the renter.

No. This is a drug-free, non-smoking facility at all times, with no exceptions. Smoking, vaping, and cannabis use are prohibited anywhere on the premises.

The renter is responsible for the conduct of guests, vendors, and performers. Conduct deemed disorderly at CDC’s sole discretion is grounds for immediate expulsion and conclusion of the rental period, with no refund. Large events, concerts, late-running events, and events involving alcohol may require professional security at the renter’s expense; management may also contact the Village of Menands Police Department if necessary.

No. CDC takes no responsibility for personal effects and possessions left on the premises during or after any event, except where liability cannot legally be excluded.

Yes, at appropriate family-friendly events, provided they are supervised by a responsible adult.

Yes. Market management may cancel, suspend, or stop an event for nonpayment, failure to provide required insurance or permits, unsafe conditions, illegal activity, excessive noise, overcrowding, property damage, or disruptive conduct. Refund eligibility depends on the reason for cancellation and the terms of the signed agreement.
